Notice of Service Disruptions to Microfiche Availability from Information Services

The availability of data and information stored on microfiche, as described in Energy Resources Conservation Board (ERCB) Guide 001: Publications, Maps and Services Catalogue, will be affected by the Microfiche Replacement Project, which starts on August 25, 2008. 

Microfiche Replacement Project

Over the next three to four years, the ERCB will be moving away from disseminating data on microfiche to disseminating electronic files. All data currently stored on microfiche will be scanned into searchable PDF files. This includes about 38 million images and about 1.5 million documents. A complete list of all data sets currently in microfiche is attached.
The Microfiche Replacement Project is being initiated to enhance the products and services provided by the ERCB and to alleviate problems that have been experienced with microfiche availability, as discussed in Bulletin 2008-08, February 7, 2008.

As a result of the project, customer service levels will be affected as follows:

  • While the selected microfiche are being scanned, there will be no access to these files. In total, about 2 per cent of the total microfiche inventory will be unavailable at one time. Customer order fulfillment for files that are out for scanning will be delayed by up to three weeks in addition to normal processing time.
  • A weekly schedule outlining the specific files that will be out and a three-month rolling plan of the data sets to be scanned will be viewable at Microfiche Replacement Project, in the Projects & Issues section on the ERCB Web site www.ercb.ca.
  • Normal customer service levels will remain in place for individual microfiche or complete data set orders that are not out for scanning.

At this point, the ERCB is uncertain when the PDF files will be available. Scanning of the microfiche files is the first step in the process. The PDF files will be available through Information Services in the same way that orders are placed for microfiche today. We will provide an update in January 2009 about when the PDF files will be available. In the meantime, we will continue to disseminate microfiche.
